What software do dog bars and dog parks use?

Dog bars and off-leash dog parks use pet business software to check vaccines and waivers before a dog enters, sell day passes and memberships, check dogs in, and answer customer questions. If you use Tato, plan to keep a separate point-of-sale for drinks and food.

During a busy arrival period, your gate team needs clear answers: are the dog’s records current, is the waiver signed, and is the visit paid for?

Tato is operating software for dog parks, daycares, groomers, and boarders. It reads vaccine records, supports check-in, and answers the phone. Your team still handles admission decisions and exceptions.

Who answers the phone when my staff is pouring drinks?

Tato can answer your calls and texts for you. The Tato team gives you a phone number that your customers can call or text. An automated receptionist is trained on your business, so it can answer the everyday questions: hours, visit requirements, and memberships.

The receptionist can transfer calls to your configured staff line. Staff can review call transcripts in Tato.

A call about opening hours or vaccine requirements should not pull someone away from a line at the gate.

Tato answers phone calls and texts; automated email answering is not available today. See Tasks for what Tato completes on its own.

How do I check vaccines and waivers before a dog enters the yard?

Collect them before the visit, then check them again at the gate. Pet parents create an account in the customer portal, add their dogs, upload vaccine records, and sign your waiver online before their first visit.

Tato reads the vaccine records pet parents upload. It extracts dates for rabies, Bordetella, and DHPP. Unreadable records can be held for review. Staff can inspect the documents and correct dates when needed.

At check-in, Tato checks vaccine status, required waivers, and membership or pass coverage for Play Park visits. A customer can sign a missing waiver at the kiosk. If a vaccine or another requirement needs attention, the kiosk sends the customer to your team before it completes check-in.

A displayed expiry can be calculated rather than printed on the clinic document, so staff should check uncertain dates. For the date rules and what to do when a record expires, read How to manage vaccine records at a dog daycare.

Can members check themselves in at the gate?

Yes, Tato has a self-service check-in kiosk that runs on an iPad at your entrance, using a staff-authenticated session. Pet parents find their account with their phone number or a QR code, choose the dogs visiting today, and follow the check-in steps.

For Play Park visits, the kiosk checks recorded vaccine eligibility, required waivers, and membership, pass, or pack coverage. The flow can complete check-in when its configured requirements are met. A blocked visit has a staff-assistance route. This is a software check, not a physical gate lock or a guarantee that nobody can enter the yard.

Pet parents can keep their QR code on their phone, including in Apple Wallet, so a regular can scan it to start check-in.

Can I sell day passes and memberships at the kiosk?

Yes, a Play Park customer without coverage can buy a pass or package during check-in. They can use a saved card or enter a new one, then continue with their arrival. Ask to see a failed payment and the staff-assistance route as well as a successful purchase.

Tato supports the ways dog parks usually sell access:

  • Recurring memberships, billed on the configured schedule.

  • Visit packs and credits, used one visit at a time.

  • Day passes, bought at the kiosk or online.

  • Plans with a dog limit, so a household can choose the plan that fits its dogs.

When a check-in has several dogs, Tato uses a pass first, then pack credits, and asks for payment only for the dogs that are still not covered.

If your yard is members-only, you can require a membership before any dog-service visit. Ask the team to demonstrate how your configured access policy handles paused or past-due memberships. Do not treat an arrival list as proof of a completed payment.

Pet parents can see their plans, check remaining visit credits, and update saved cards in the customer portal. Where you allow it, they can also pause or cancel on their own.

Can I see which dogs are in the yard right now?

Yes, Tato’s staff portal shows who has arrived. Your team can check dogs in, see check-in status, and look up any pet's vaccine records, memberships, and notes without asking around.

Staff can also add behavior notes to a pet's profile, so the next person working the gate knows the dog in front of them.

Should I keep my bar point-of-sale separate?

Plan to keep your drinks and food checkout separate unless the demo and written scope confirm a replacement. Walk through an open tab, a refund, and the end-of-day reconciliation with your current bar system in mind.

Gingr advertises a card-on-file bar-tab workflow. If that is important to your operation, include it in the comparison. A good dog check-in flow alone does not settle whether a product can run your bar.

For a broader switching checklist, read Gingr alternatives: when to switch and when to stay.

How should I compare the cost of dog bar software?

Compare a written quote for your actual setup, including the work your other systems will still do. Start with Tato pricing, then confirm the current plan, usage allowances and support scope with the team.

Ask each vendor to list payment processing, phone usage, messaging, hardware, setup and any migration work separately. Confirm what a standalone dog-park plan includes rather than applying the feature list from a different service plan.

Use your own membership mix in the demo: a regular with coverage, a visitor buying a pass, and a household with dogs on different plans. The useful comparison is the cost and work of running those visits, not the subscription price in isolation.

What should I check before choosing dog bar software?

Check how customers sign in, how expired records are handled, and what data can move from your current system.

Do pet parents need to download an app?

No. Tato’s customer portal runs in the pet parent’s phone browser, and they check in at your kiosk with a phone number or QR code.

Which vaccines can Tato read?

Tato extracts dates for rabies, Bordetella, and DHPP, then applies its date rules. Staff should check the result against the document and your policy. You choose which vaccines each service requires.

What happens when a dog's vaccines are expired at the gate?

Tato’s Play Park kiosk directs the customer to staff when a required vaccine is expired, rather than completing self-service check-in. Staff can review the record and handle any permitted exception.

Can Tato email vets for missing records?

Vet record requests are not generally available today. Pet parents can upload records in Tato’s customer portal for processing.

Can I move my members from my current software?

Tato has facility-specific Gingr import tools for customer records, pets, vaccine dates, and memberships. Those tools are not a promise that your records, balances or saved cards will transfer. Agree on scope after the team reviews your export and setup. The steps are in our Gingr switching guide.

How can I see Tato handle my gate setup?

Book a demo and bring your membership plans, waiver requirements, and a sample vaccine record you are allowed to share. Ask to see a regular’s check-in, a missing record, and a day-pass purchase.
